A guided interactive walkthrough that prepared 500+ users for a new CRM platform before go-live — eliminating the usual post-launch support surge.
The company was migrating from a legacy account management system to a new cloud-based CRM platform. Over 500 account managers, customer success reps, and operations staff needed to learn the new system before go-live. Previous system migrations at the company had resulted in a 40% spike in internal support tickets during the first two weeks and a measurable dip in customer response times.
The IT team had created a user manual — 86 pages of screenshots and instructions — that nobody read. Leadership wanted training that would prevent the post-migration chaos without pulling people off their accounts for a full day of classroom training.
I worked with the project team to identify the 5 tasks that account managers perform most frequently: checking the account health dashboard, opening a customer record, reviewing the activity timeline, logging an interaction, and scheduling follow-ups through quick actions. These five tasks accounted for approximately 80% of daily system usage.
I also interviewed several account managers about their concerns. The consistent theme was not "I can't learn new software" but "I don't want to look incompetent in front of my customers during the transition." The training needed to build both competence and confidence.
Rather than teaching the entire system, I focused on the 5 daily tasks that matter most and designed the training to feel like using the actual software — not watching a video about it. If someone could complete the walkthrough, they could use the real system.
I built a guided interactive walkthrough that simulates the actual CRM interface. The learner navigates through a realistic mock of the system, clicking on the elements they'd use in the real application. At each step, a tooltip explains what the feature does, why it matters, and tips for using it effectively.
The walkthrough uses a hotspot-based interaction model: the learner reads the instruction ("Click the Activity tab to see this account's history"), finds the element in the mock UI, and clicks it. This forces active engagement rather than passive scrolling. Clicking the wrong element does nothing — there's no penalty, just guidance toward the right action.
I designed the mock UI to match the actual platform's visual design as closely as possible, including realistic data (account names, health scores, ticket numbers, timeline entries). This way, when users opened the real system for the first time, it already felt familiar.
The prototype was built in HTML/CSS/JavaScript to allow rapid iteration with stakeholders. The production version was developed in Articulate Storyline 360 with screen recordings of the actual system layered under interactive hotspots. SCORM-compliant for LMS tracking.
The dark UI theme was a deliberate design choice — it matched the actual platform's interface and made the walkthrough feel like a real application rather than a training module.
The walkthrough was completed by 96% of users before go-live. Internal support tickets during the first two weeks were 62% lower than the previous system migration. Account managers reported feeling "already familiar" with the new system on day one. The format was adopted as the standard approach for all future system rollouts.
I'd add a "sandbox mode" after the guided walkthrough — an unguided version of the mock system where users can practice freely without instructions. I'd also build a 60-second refresher version that covers just the navigation basics, available as a bookmark for the first week after go-live when people forget where things are.
